DESCRIPTION A dynamic, US based multi-national company has an immediate opportunity for an Office Administrator for China market. The position reports to HR & Admin Supervisor. ABOUT US With over 20 years in the China market, our company is over 80 years old and represented in over 160 countries. We are a team of dedicated professionals focused on bringing our consumers the highest quality products at the best value possible and create most efficiently working environment. POSITION SUMMARY The role will undertake administrative tasks, coordinating office activities and operations to secure the efficiency and ensuring the rest of the staff has adequate support to work efficiently. The office administrator ensures smooth running of our offices and contributes in driving sustainable growth. THE OFFICE ADMINISTRATOR IS EXPECTED TO Provide support in all office operation. Support with special department programs KEY RESPONSIBILITIES: Internal 1. Draw up company administration management related policies, improve and refine office management system and procedure; 2. In charge of office fixed asset, supply and sundries purchasing. 3. Oversee maintenance of physical facilities including office equipment and furnishings, housekeeping and operational systems; 4. Organize company meetings and activities including but not limited staff arrangement, dinner, traffic, accommodation, venue and so on. 5. Support in company wise events, activities and projects, like team building, office remodeling, relocation, etc. 6. Implement the office Health & Safety procedures to assure compliance with safety and security regulations, evacuation and disaster precautions. 7. Draft administrative notice and related company document, and file related company documents. 8. Apply monthly administration payment. 9. Manage admin expenses report filing and data analysis 10. Keep and manage company stamps. 11. Other jobs and projects as assigned by line manager. External 12. Provide hospitality to external visitors 13. Venders management to ensure high quality service standard 14. In contact with hotels and negotiate about corporate rate of business accommodation. 15. Communicate and coordinate with external partners including real estate, express company, communications company etc. 16. Evaluate office vendor services, develops vendor relationships, negotiate local contracts, and monitor leasing agreements; REQUIREMENTS: 1. College degree above. 2. Fluent in written and oral English 3. Quick learner, detail oriented, good team player. 4. Ability to build strong relationships and work effectively with colleagues. 5. Good communication skills 6. Ability to manage multiple tasks under deadlines while maintaining quality of work delivered. 7. Ability to solve problem independently and consult with peers and leaders on more difficult issues. 8. Open to learn and is comfortable to work in a changing environment. 9. Proficient in MS Office particularly PowerPoint, Word, and Excel. |
